Updates and reminders

Schedule reminders that go out before and after every date, and send messages to everyone registered.

The Updates tab is how your event talks to the people coming. Set reminders once and they go out on every date, at the same moment relative to it. When something changes, like a new room or a snow day, send an update to everyone registered right away. Both go by email, by text, or both.

Updates reach everyone holding a seat on the dates you choose. Who that is gets worked out when each message goes, so people who register after you schedule a reminder still get it.

Schedule reminders

The Reminders section has three starting points, each with a subject and message already written for you to edit:

Select Custom to start from a blank message.

On the event's Updates tab, select Day before, Hour before, Thank-you after or Custom.

Under Dates, keep Every date, or choose Pick dates and tick the ones this reminder is for. Every date also covers dates you add later.

Under When, set a number, a unit of minutes, hours or days, and whether it counts before it starts or after it ends. A zero sends it as the date starts or ends.

Turn Email, Text or both on, write the Subject for the email, and edit the message.

Select Schedule.

Each reminder shows when it goes, its channels, which dates it covers, and when it next sends with how many have gone so far. Its menu lets you Edit, Pause, Resume or Delete it. Deleting stops any further sends and leaves the ones already made as they were.

When you move a date, its reminders move with it. When you cancel a date, its reminders are called off.

Send an update now

On the Updates tab, select Send an update.

Choose the Dates it's for.

Turn on Email, Text or both. Write a Subject for the email and the message.

Check the line at the bottom. It says how many people are registered and how many of them can be reached by email and by text.

Select Send now.

Sent updates are listed under Sent with how many messages went out. Deleting one there removes it from the list. Anyone it already reached keeps their message.

Email and text

One message covers both channels. The Subject is used for email only. Texts go only to guests who gave a phone number, so ask for one under Registration → Settings → Phone number if you plan to text. The Text switch needs a texting number set up for your organization first. See Text messaging.

Personalize a message

Type / in the message to add a merge tag. It's replaced for each person when the message goes, so one reminder reads correctly on every date and for every guest.
