Contacts
Keep every customer in one address book, see everything they've done with you, and act on many of them at once.
Contacts is your address book. Everyone who buys from you, registers for a class, books studio time or writes to you ends up here, with their whole history attached. Open it from CRM → Contacts in the sidebar.
People and companies
The list has two tabs, People and Companies, each with a count. Most of your contacts will be people. Use companies for businesses you deal with, like a café that orders mugs from Northside Pottery in bulk.
Notes, reminders, the activity history and messaging are for people. A company shows its details and the groups it's in.
Where contacts come from
You don't have to add most contacts yourself. Lahuta creates or updates a contact when someone:
- Registers for one of your events, or you invite them as a guest.
- Buys from your shop or pays on your website.
- Books time with you, or buys one of your services.
- Subscribes to your newsletter.
- Messages you on Lahuta, or texts your organization's number. Someone who texts from an unknown number becomes a new contact named by their number.
- Fills in a form on your own website that's connected through the Org API.
Lahuta matches people on their email address or phone number, so the same person doesn't show up twice. When new details arrive for someone who's already a contact, Lahuta fills in what's missing and never overwrites what you've entered. An archived contact who registers, buys or signs up again comes back into the address book.
Add a contact
Go to CRM → Contacts and pick the People or Companies tab.
Select Add contact, or Add company on the Companies tab. You can also press ⌘K and choose New contact.
Fill in what you know: First name, Last name, Job title, Email, Phone, Website, LinkedIn, Birth date, Address and Notes. For a company, start with Company name.
Select Add contact. If the email or phone already belongs to someone, Lahuta updates that contact instead of adding a duplicate and tells you so.
To bring in a whole list at once, see Import contacts.
Find someone
Type in Search contacts… to match on a name, email address or phone number. Select the star next to a name to mark a contact as a favorite.
The contact panel
Select a contact to open their panel on the right. Press ⌘I to hide or show it.
At the top are the contact's name, which you can select to rename, and three buttons:
- The message button opens your conversation with them in the Inbox.
- Add note jumps to the Notes tab.
- Remind opens a new reminder for them.
The ⋮ menu has Book…, to book them into one of your booking types, and Archive contact.
The panel has four tabs:
| Tab | What's in it |
|---|---|
| Overview | In groups, with Add to group. Connected channels, when they have any. Details: email, phone, company, job title, LinkedIn, website, birth date, address, description and source. Select any detail to edit it. |
| Activity | Everything they've done with you, newest first: orders, website payments, service orders and offers, event registrations, bookings, emails, texts, messages, notes and reminders. |
| Notes | Team notes about them. See Notes and reminders. |
| Reminders | Follow-ups you've set for them. |
Act on several contacts at once
Select contacts by clicking their avatars. A bar appears at the bottom of the page with:
- Select page, and Select all with the total, which picks every contact of that kind, including ones on other pages.
- Email and Text, which start a campaign to the selection. Text only shows once your organization has a texting number.
- Subscribe to…, which adds people to a newsletter topic.
- Invite to event, which emails people an invitation to one of your upcoming events.
- Add to group, which adds the selection to one of your groups.
- Archive.
Subscribe to… and Invite to event are for people only, and skip anyone without an email address.
Find and merge duplicates
Sometimes the same person ends up as two contacts, for example with a work email on one and a personal one on the other.
Open the ⋮ menu next to Add contact and choose Find duplicates.
Lahuta lists likely pairs, each with a match percentage and why it matched: email, phone or name.
In each pair, select the record you want to keep. It's marked Keep.
Select Merge on a pair, or Merge all to merge every pair at once.
The kept record takes in the other one's emails, phone numbers and links, and fills any empty fields from it. Orders, registrations, messages and the rest of the history move onto the kept record. Merging can't be undone. When pairs share a contact, Merge all skips the overlapping ones, so run Find duplicates again afterwards.
Archive a contact
Archive someone from the ⋮ menu in their panel, or select several and choose Archive in the bar.
Archived contacts leave the address book and every group they're in, and stop receiving your email. Their notes, reminders and history are kept. If they register, buy or sign up again, they come back.
