Manage bookings

Find a booking, book someone yourself, reschedule or cancel, assign it to a teammate, and mark it done.

Bookings is the list of every appointment people have made with you. From here you open a booking to see who it's with and what they answered, move it, cancel it, hand it to a teammate, and record whether it happened.

Find a booking

Bookings are grouped by day, with Today and Tomorrow at the top. Each row shows the time, the person's name, the status, the booking page, the source if there is one, and the avatar of the teammate it's assigned to.

  • Upcoming and Past switch between what's ahead and what's done.
  • The booking page filter shows one booking page at a time, or All booking pages.
  • The status filter shows Any status or one of the statuses below.

Open a booking

Select a booking to open it in a side panel.

The panel shows:

  • The time, in your time zone and in the booking page's if they differ.
  • The person's name, email and phone, and Open in contacts to see their full history.
  • Their answers to your booking questions.
  • Assigned to: pick the teammate taking this booking, or Nobody. It's for your team's own tracking, and doesn't change the hours on the booking page.
  • Source: a note on where the person came from, like "referral" or "walk-in". It saves when you leave the field. Bookings made through a link with ?source= fill this in for you. See Booking pages.
  • Copy manage link: copies the person's own link to reschedule or cancel, in case they can't find their confirmation email.

Mark a booking done

After the appointment, open the booking and select Mark completed, or Mark no-show if they didn't come. Either one can be undone with Back to booked.

Reschedule a booking

Open the booking and select Reschedule.

Pick a new day and time. Only open times from the booking page are offered, shown in your time zone.

Select Move booking. The person gets an email with the new time and an updated calendar entry.

If someone else takes the time while you're choosing, Lahuta asks you to pick another.

Cancel a booking

Open the booking, select Cancel booking, and confirm. The person is told it's off, and the time opens up for someone else. A cancelled booking can't be changed again, so they'd need to book a new time.

Book someone yourself

Use this when someone calls, messages you, or books at the counter.

In Bookings, select New booking. You can also open a contact in your CRM, open the More actions menu and select Book….

Under Who it is with, pick the contact.

Choose the Booking page and pick an open time.

Fill in any questions, add a Source if you like, and select Book.

The person gets the same confirmation as if they'd booked it themselves.

What customers can do

The confirmation email has a link to the person's booking. There they see the time, your instructions and the status, and while the booking is still ahead they can:

  • Reschedule: pick a new time from your open hours and select Confirm new time.
  • Cancel booking: call it off. The time goes back on offer.

Once a booking is cancelled, the page offers Book again. Every change a customer makes sends them a new confirmation and sends your team a notification.

Notifications

Your team gets notified about bookings under three settings, which each person can turn on or off:
